Event planner checklist

The planner's playbook.

Everything you need to add disposable.photo to your packages, run it smoothly at events, and turn it into a premium physical keepsake.

1

Before the event — setup

  • Create the event on disposable.photo about 1 week before the date.
  • Set guest limit slightly above your expected headcount.
  • Set the shot limit (12 shots creates urgency and feels precious).
  • Pick the reveal time — usually the end of the event or the morning after.
  • Download the QR code and get it printed on tent cards, table stands, or signage.
  • For Branded tier: upload your client's logo so it stamps every photo.
2

At the event — QR placement

  • Center of every table (tent card or acrylic stand).
  • Near the bar — guests linger here longest.
  • At the entrance and check-in table.
  • Near the dance floor.
  • At photo backdrops or key photo-op spots.
  • Bathroom mirrors (guests check phones there).
  • On the back of menus or programs.
  • Signage should say clearly: SCAN TO JOIN THE PHOTO ROLL.
3

What to announce (word for word)

  • At arrival: “Welcome! We have a shared camera roll tonight — scan the QR code on your table, take your shots, and we'll reveal everything together at [time]. Nobody sees anything until the reveal!”
  • Mid-event: “Don't forget to add your photos to the shared roll — we reveal everything in [X] hours. Use your shots!”
  • Right before reveal: “The moment you've been waiting for — we're about to reveal every photo taken tonight. Get ready…”
  • Brief the wedding party or closest friends first so they lead by example.
  • Ask the DJ or MC to announce it at least twice during the event.
4

After the reveal — physical keepsake upsell

  • Send the album link to your client immediately after the reveal.
  • Guests can order same-day prints for pickup at any Walgreens location.
  • You pick up the best photos yourself the same day.
  • Assemble them into a curated print collection, photo album, scrapbook, or memory box.
  • Deliver the physical keepsake as a premium add-on within 1–2 weeks.
  • Present it in branded packaging for maximum wow-factor.
5

How to price it in your packages

  • Standard tier ($14.99): charge clients $30–50 as a light add-on.
  • Premium tier ($34.99): charge $75–100 for medium events.
  • Pro tier ($69.99): charge $150–200 for weddings and large events.
  • Branded tier ($129.99): charge $250–400 when the client's logo appears on every photo.
  • Physical album upsell: $150–500 depending on materials and complexity.
  • Luxury memory box: $400–600 for archival prints, keepsakes, and premium presentation.
